Free email signature generator — 6 templates, no signup, no CDN lock-in. India (UPI / WhatsApp / GSTIN), UAE (TRN / bilingual), and US presets. Installs to Gmail, Outlook, Apple Mail.
Professional HTML email signatures that actually render the same in Gmail, Outlook Classic, New Outlook, and Apple Mail — no small feat given 2026 is the peak of dual-Outlook pain (Classic still ships on the Word engine, New Outlook uses Chromium). Built as table-based HTML with inline CSS and MSO conditional comments so it survives every client. Unlike every competitor (HubSpot, WiseStamp, MySignature, Canva), your uploaded logo and photo are embedded as inline data URIs — not hosted on our CDN — which means your signature will still work ten years from now, even if this site disappears, and nobody tracks recipients via image pixels. Six hand-crafted templates (Minimal, Corporate, Compact, Banner, Creative, Tech), one-click country presets with India-specific UPI / WhatsApp / GSTIN fields and UAE bilingual (English + Arabic) name support, 18 social platforms, CTA button, promotional banner, and legal disclaimer. Three output modes — Copy rendered (for Gmail / Outlook Web), Copy HTML source (for devs), Download .html (for Outlook desktop and Apple Mail) — each with a client-specific install guide.
The average marketer treats an email signature like a business card — a few lines of text, a logo, some social icons. Under the hood it is one of the hardest pieces of HTML you will ever write, because it has to render correctly in at least six different email clients, each with its own bugs, and the clients do not agree on basic rendering behaviour.
2026 is particularly bad because Microsoft ships two incompatible Outlooks simultaneously. Classic Outlook on Windows uses the Microsoft Word rendering engine, which was last meaningfully updated in 2007. It ignores flexbox, display:grid, max-width, min-width, any border over 5px, any padding on <a> or <p> elements, most background-image declarations, and media queries. New Outlook, which Microsoft has been rolling out for two years and will eventually replace Classic, uses a Chromium rendering engine and supports all of that. So any signature written with modern CSS looks great in one and broken in the other.
Add to that: Gmail strips <style> tags except in very narrow circumstances, Apple Mail on macOS overwrites your HTML if you do not mark the file as locked in Finder, iOS Mail silently drops a third of inline styles on paste, and Superhuman + HEY have their own quirks. Our generator is built table-based with inline styles and MSO conditional comments — the only technique that survives all of them — so you do not have to care about any of this.
Every mainstream email signature generator — HubSpot, WiseStamp, MySignature, Canva, Reply.io — uploads your logo to their servers and gives you an <img src="https://cdn.theirservice.com/logos/your-logo.png"> in the signature HTML. This looks convenient and it is, until any of the following happens:
The alternative is to embed the image directly in the HTML as a base64-encoded data URI. The file bytes sit inside the signature markup itself; the email client decodes them on render. No hosting, no network roundtrip, no service dependency, no tracking. The trade-off is signature size — about 15–30 KB added per signature — which is effectively nothing given that modern emails routinely carry tracking pixels and HTML images far larger.
Data URIs do have two gotchas: older versions of Outlook (pre-2013) stripped them (now a non-issue — sub-1% of installs); and some security-heavy corporate environments proxy out data URIs (rare, and those environments usually strip all images anyway). For 98% of recipients, the embedded logo renders identically to a CDN-hosted one, and for 100% of senders, it outlives any vendor dependency.
All six templates render in every modern email client we tested. Pick based on what you want the signature to say about you:
Switching templates keeps all your fields — only the layout and colours change. So you can ship with Corporate today, try Creative tomorrow, and switch back in one click.
Most Western signature tools assume a US-style contact block: name, title, phone, email, LinkedIn. If you work in India or the UAE, a few extra fields are industry standard and will make your signature read as locally professional rather than foreign.
UPI ID — the default payments rail. For freelancers, consultants, and SMBs, putting your UPI handle (yourname@okhdfc) in the signature means one-tap payment from any UPI app — Paytm, PhonePe, GPay, BHIM. No sharing account numbers, no IFSC, no NEFT delays. Reduces DSO (days sales outstanding) noticeably for small invoices.
WhatsApp number — in India, WhatsApp is often a faster channel for client conversations than email. Including your WhatsApp number as a click-to-chat link (https://wa.me/91XXXXXXXXXX) gives recipients a native one-tap switch from email to chat. Mobile signatures especially benefit from this.
GSTIN — optional, but for B2B India it legitimises your email as coming from a GST-registered business and reduces friction when vendors or clients ask for GSTIN to issue invoices. Auto-labelled with the correct "GSTIN" prefix so it renders the way accounts teams expect.
Bilingual name (English + Arabic) — common on signatures of Emirati and long-term expat executives. Your Arabic name appears in lighter grey next to the English name. Respectful in the GCC B2B context and shows cultural fluency.
WhatsApp click-to-chat — same pattern as India; WhatsApp is the dominant business chat channel in the UAE.
TRN — the UAE equivalent of GSTIN, issued by the FTA. Including it on a signature signals you are VAT-registered and is expected on B2B communications in most industries.
Three things. One: no signup, ever — every competitor requires an account. Two: no branding. HubSpot forces their logo; WiseStamp gates removing theirs behind a paid plan. Three and most important: we do not host your logo on our CDN. HubSpot, WiseStamp, MySignature, and Canva all store your uploaded image on their servers; if their service disappears or your account lapses, your signature breaks everywhere you use it. Our generator embeds the logo as a base64 data URI right in the HTML, so the signature is self-contained and lasts forever.
Microsoft ships two incompatible Outlook apps in 2026. Classic Outlook on Windows still uses the Microsoft Word rendering engine, which ignores flexbox, media queries, background images, border-radius, and most modern CSS. New Outlook and Outlook on the Web use a Chromium engine that supports everything. Signatures that rely on modern CSS look great in one and broken in the other. Our templates are built with table-based HTML and inline styles so they render identically in both, and you can flip between previews to verify before you install.
No. The browser reads your file with the FileReader API and converts it to a base64 data URI that lives only in your browser tab and inside the HTML we generate. Nothing is transmitted to any server. If you would rather link to an already-hosted logo (say, your company CDN), paste the URL into the "or paste URL" field and we will use that instead.
Social icon images are the #1 reason signatures break. Every competitor hosts them on their CDN, and when the CDN lapses or rate-limits, your icons turn into broken image boxes everywhere. We use text pill badges (LI, GH, X, etc.) styled with inline CSS — they render in every email client, require no hosting, and degrade gracefully to text even when images are disabled (which is the default in many corporate email setups).
Each client has its own quirks, so the built-in Install Guide (bottom right of the tool) walks you through it step-by-step. Short version: Gmail and Outlook Web use "Copy rendered" → paste into the settings editor. Outlook desktop uses "Download .html" → drop into %APPDATA%\\Microsoft\\Signatures. Apple Mail needs the Signatures file in ~/Library/Mail/V10/MailData/Signatures, with the file locked so Mail does not rewrite it.
Yes — switch the country to UAE and a Name in Arabic field appears. The Arabic name renders in lighter grey next to your English name, which is the pattern most Emirati executives use on professional signatures.
UPI (Unified Payments Interface) is the default India payment rail. Including your UPI handle in a signature — for freelancers, consultants, SMBs — makes it one tap for clients to send payment from any UPI app, without asking for account numbers or IFSC. The field is only visible when country is set to India.
Yes, manually — export the HTML source, share it in a shared doc, and each teammate edits their name/title and installs. Central team management with one-click deploy across an organisation is a paid-tier feature in WiseStamp and Exclaimer and would need a backend + accounts we have deliberately not built. For a team of 3–15 the manual flow is perfectly fine.
